Submit Identifiers to the Search
You must submit the individual's complete name and complete date of birth. Social Security numbers are optional but encouraged as they allow a more thorough search. Up to four alias names may be included in the search without further cost. Alias names can include any maiden, married, adopted, or assumed name an individual has gone under during their lifetime. The requestor's name is mandatory for public users in order to comply with 44-5-215 Montana Code Annotated (MCA).
Please confirm that you have entered the information on the "Verify Search Criteria" page correctly. If the information you enter is incorrect, you will still be charged the fee.
Review Search Results
Once you submit the required information, a search of Montana's criminal history record database is conducted. You will then see a "Search Results" page that displays one of four possible outcomes:
- No Record - no matching record was found, as in this example.
- No Unique Candidate - a unique candidate was not found, as in this example. Because individuals may have similar personal identifiers, in some instances, the search may not be able to identify a single candidate. Please submit fingerprints for positive identification.
- Search Pending - the result is not immediately available because it requires a manual review that may take up to 3 business days, as in this example. When the review is complete, you will receive either a "No Record" or "Record Found" response.
- Record Found - a link to the record will be available for 14 days, as in this example.
View Previous Searches
To view a previously purchased search, you will need the PIN that was given to you on your receipt and confirmation email. From the home screen, select Start Service under the Public Users icon. Then select the View Previous Searches icon. Here you will be able to monitor searches that may be pending for up to 3 business days, view results from searches from the last 14 days, or reprint payment receipts. Enter the PIN, the name and the date of birth of the individual you were requesting the record search on. Once you have entered the data, you can view the status of your search, view the results if the search is completed or print a receipt.
Print Your Results
You will get a response to your search immediately, even if the final results are still pending. You should print a copy of the results for your records. You must print the report within 14 days of when you first view it. After this time, it will no longer be available for viewing or printing.
Request Notarized Copy
If you require a notarized copy of your public criminal history record search, this service can be provided free of charge once the search has been conducted. To request this service, go to the Search Summary. If the record status is "PENDING" then you must wait until it says "READY". When the status says "READY", you can now select the View Record button. Once you select View Record, there is a large red box after the end of the record stating, "Request Notarized Copy." You must select this button and complete the required information. Your notarized copy will be mailed out within two weeks.
